PointVAL process · Payment matching and open-item clearing

Importing a payment is only the start. It must be matched to the correct open item

We connect transactions from banks, Revolut Business, Stripe and PayU to the correct counterparty and open items. The result is not merely a transaction list, but an up-to-date view of outstanding receivables and payables.

The API removes the file, not the control

A user initiates data retrieval. The system checks completeness, proposes matches and retains confirmed decisions, while ambiguous cases remain with the operator.

Process flow

From account transaction to cleared open item

Import is only the beginning. Value appears when a transaction is matched to the correct counterparty and open item, with an explainable decision history.

  1. Transaction source

    01

A user imports a bank statement or initiates retrieval from Revolut Business, Stripe or PayU through the API.

  2. Import controls

    02

The system checks statement continuity, balances and duplicates, and retains the source data.

  3. Counterparty identification

    03

Matching uses the IBAN, the Polish VAT whitelist, transaction data, payment references, remittance information and previous confirmations.

  4. Open-item matching

    04

The system scores open items using factors such as amount and document reference, and presents the strongest candidates first.

  5. Review and clearing

    05

The operator confirms the match, allocates the amount where necessary, and the open-item status is updated when the result is saved.

Clear division of responsibility

Technology handles the routine

  • File-based import of CAMT.053, MT940 and iPKO/PKO BP data, and API retrieval from Revolut Business, Stripe and PayU.
  • Counterparty identification using IBAN, the VAT whitelist, transaction content and retained confirmations.
  • Ranking of open items by amount, reference and remittance information.
  • Creation of linked payment records and immediate update of the real-time open-item status.

People resolve the exceptions

  • Confirming the counterparty or open item when the transaction data does not support a sufficiently confident match.
  • Allocating one payment across several open items or partially clearing one of them.
  • Resolving a statement-continuity, balance, duplicate or unusual-transaction warning.
  • Reversing an incorrect import, correcting the data and running it again under controlled conditions.

Process control

Open-item status is updated as soon as an invoice or payment is entered

Many-to-many payment allocation

One payment can clear several open items, while one open item can be covered by several payments.

Real-time open-item status

As soon as a sales or supplier invoice or a payment is entered, the paid amount, outstanding amount and clearing status are visible.

Missing documents become work queues

Separate work queues show outgoing payments without supplier invoices and incoming payments that still require a sales invoice.

Source and reversibility

The statement file and payment relationships are retained, while an import can be safely reversed and run again.

Measured client process

A full month: from 5–6 hours to about 30 minutes

After import, the system identifies the counterparty and proposes open items for clearing. The operator handles ambiguous cases, while a confirmed decision helps with the next similar transaction.

The measurement covers one real role and a typical monthly volume. It excludes the additional benefit of fewer errors.

5–6 h

to process one month manually

≈30 min

monthly processing after automation

4.5–5.5 h

recovered in a typical month

Measurement before and after

We measure the complete workload, not file upload time

What matters is the path from acquiring the transaction to correct payment allocation, open-item clearing and exception resolution. We measure the same scope before and after the automation goes live.

  • 01

Transaction volume by account, currency and source.

  • 02

Working time required to import and clear the month’s transactions.

  • 03

The share of counterparties and open items identified without a manual search.

  • 04

The number of exceptions, corrections, reversals and missing documents.

For the first call, the data sources, approximate monthly transaction volume and your current method of finding counterparties and open items are enough.
